Key Facts
- A queued job is not an uploaded video.
- An upload receipt is not proof of public visibility.
- Identify the video by its destination ID, not its title alone.
- Unknown is a useful state when evidence is incomplete.
Which States Should Your Log Separate?
Use states that answer different questions. “Approved” means the package passed your review. “Queued” means work awaits dispatch. “Upload reported complete” means the sending system returned that result. “Public verified” means you checked the intended video's public state and content.
Do not use “published” as shorthand for all four. That shortcut can make a private upload look like a successful public release.
DreamWild's Terms explicitly distinguish an upload receipt from proof of public availability and say ambiguous uploads are held for reconciliation rather than automatically replaced. Its current integration provides private uploads only pending audit approval.

What Does A Filled Receipt Log Look Like?
This author-created fictional example tracks a native YouTube upload of a Short about arranging a tabletop board-game tray. The times are invented observations, not service promises.
Scroll this table sideways to see every column.
| Time And Zone | State | Evidence | Remaining Question |
|---|---|---|---|
| 14:00 UTC | Approved | Export B014 v02 and metadata v03 accepted | None for content review |
| 14:05 UTC | Upload started | Operator records intended channel | Destination ID not yet recorded |
| 14:08 UTC | Upload reported complete | Destination ID copied into release record | Processing and visibility need checking |
| 14:10 UTC | Private observed | Studio shows the intended private item | Public release has not occurred |
| 16:00 UTC | Scheduled time reached | Saved native schedule says 16:00 UTC | Actual outcome still unchecked |
| 16:04 UTC | Public verified | Correct ID, intended content and public availability checked | None for this release |
Do not fill intermediate states from assumptions. If you missed the upload-completion receipt but can verify the correct final item, record exactly that. Leave gaps visible when you cannot establish an intermediate state.
How Should You Verify Visibility?
Check the exact video in Studio, then test the viewing context relevant to your intention. An owner can see content that an ordinary viewer cannot, so watching it while signed in as the owner is insufficient evidence of public release.
Also inspect the stated visibility. An unlisted video can be watched by anyone with its link, which means a successful logged-out link test alone cannot distinguish unlisted from public. YouTube describes private, unlisted and public as different access states.

Record both the setting and the viewing check. Confirm the opening, a recognisable middle moment and the ending against the accepted export. A working URL to the wrong revision is not a completed release.

What If A Video Is Locked Private?
Diagnose an API lock before repeating visibility changes. YouTube says a video locked private because it came from an unverified API service needs a new upload through its website, app or a verified API service.

Record the locked item's ID and any deliberately approved replacement's new ID separately. Do not mark the first receipt as public just because a later copy is available.
What If You Cannot Determine The Outcome?
Write what you do know: the attempted operation, time, channel, expected file and last confirmed response. Assign the next check. Avoid creating another upload merely because the first system stopped showing progress.
Inspect existing destination items and receipts first: https://dreamwild.ai/guides/duplicate-upload-recovery/
Give the next person enough evidence to continue the investigation without rerunning the upload as a test.
How Much Evidence Is Enough?
Keep the exact identifiers, relevant timestamps, visibility observation and reviewer. Save an image or export of a status when it helps explain an unusual outcome, but avoid collecting unnecessary personal information.
Close the record when the agreed result is verified. If the intended result was a private review upload, say so. Name the verified outcome precisely so nobody mistakes private delivery for public release.
Frequently Asked Questions
Does A Working Link Prove A Video Is Public?
No. Verify the stated visibility as well as access, because an unlisted item can also be viewable through its link.
Should I Mark A Missing Receipt As Failure?
Record the missing receipt and investigate the destination. A missing message alone does not establish whether the upload failed.
What Identifies The Correct Video?
Use its destination video ID together with the accepted export version and a content check.
Can I Close A Private-Upload Task Successfully?
Yes, if private upload was the agreed outcome and you verified it. Label the result precisely rather than calling it a public release.
