Key Facts
- Record the asset actually used, including replacements.
- Public access is not a permission record.
- Check scripts, recordings and visuals separately.
- A rights ledger supports review; it is not a legal verdict.
Where Should The Review Begin?
Start from the finished project, not a folder of hoped-for assets. List everything a viewer can hear or see: narration, background music, sound effects, photographs, video clips, illustrations, quoted text, screenshots and recognisable people. Include the source material used to create a generated asset.
YouTube identifies permission, applicable copyright exceptions, suitable licences and certain music sources as possible routes for using others' material. It also warns that these routes do not guarantee avoiding a claim or strike, and that exceptions vary by country.

Use the checklist to identify what needs checking. Where a disputed exception is central to the video, get advice appropriate to the facts and jurisdiction rather than treating a checklist as clearance.
What Goes In The Permission Ledger?
This is an author-created worksheet. Its fictional entries show how to record a decision without pretending a missing document exists.
Scroll this table sideways to see every column.
| Asset | Proposed Use | Evidence Needed | Decision |
|---|---|---|---|
| Your desk recording | Demonstrate a layout | Original recording and confirmation of visible material | Review frame |
| Downloaded photo | Opening illustration | Exact licence, creator and attribution terms | Hold |
| Generated character | Fictional presenter | Input permissions and applicable output terms | Review |
| Background recording | Entire Short | Recording-specific licence and credit | Hold |
| Submitted story | Adapt into narration | Author's written permission and agreed scope | Hold |
Add columns for file name, source URL, date checked, destination and reviewer. “Found online” is not a useful source entry. “Licence saved with asset” is stronger, but only if the saved licence actually covers the asset and intended use.
Review the permissions before spending time animating around material you may have to remove. Repeat the review on the final export because replacements can introduce a new source or a different recording.
Which Questions Should You Ask A Rights Holder?
Describe the use precisely. A practical request identifies the work, your channel, the planned adaptation, whether the video may earn money, where it will appear and the credit you propose. Ask whether the person granting permission controls the necessary rights.
Keep their response with your request. A reply that agrees to a different use should remain marked unresolved until the intended scope is clear. Silence is not a completed permission record.
For stories, distinguish permission to adapt text from permission to imitate the author's voice or depict other identifiable people. Those are different production choices with different potential concerns. Avoid collecting unnecessary private details merely to fill out a form.

What Should You Check For Generated Assets?
Read the service terms covering both your inputs and outputs. Do not replace that task with an assumption that generated material is exclusive or automatically free of other people's rights.
DreamWild's Terms grant a non-exclusive licence to paid outputs for permitted uses, subject to their conditions; they do not transfer output ownership to the customer. The Terms require users to hold needed input permissions and do not guarantee originality or freedom from third-party rights.

Record the accepted terms and relevant project details. Inspect the result for unexpected logos, recognisable people or material your prompt did not intend to include. A clear input record does not replace looking at the output.
Does Permission Settle Monetisation?
No. YouTube treats reused-content review separately from copyright enforcement, including when a creator has permission. Its review considers the channel and the value added through original commentary or substantive changes.

Keep two separate decisions: “documented basis for using the material” and “distinct contribution for the viewer”. Neither box promises approval.

Frequently Asked Questions
When Should I Complete The Ledger?
Start before production and reconcile it against the final export. Update a row whenever you replace an asset or change its intended use.
What Is A Useful Permission Record?
Keep the exact work, requested uses, rights holder's response, date and any conditions together. A screenshot without the surrounding request can leave the agreed scope unclear.
Should I Keep Rejected Assets?
Keep enough of the decision record to explain why an asset was rejected, but organise it separately from approved production material to prevent accidental reuse.
Who Should Review An Unclear Exception?
Use a qualified adviser for a disputed or important legal question. The worksheet is designed to expose missing information, not decide whether an exception applies.
